Clinics and packs

Updated August 24, 2026

A Clinic Event is a session with a capacity: it fills up with a roster instead of being rented by one customer. A pack sells prepaid sessions up front, and each clinic booking draws one session down from the balance until the pack is used up or reaches its expiry date.

What is a Clinic Event?

Clinic is one of the Event kinds in Fieldspace. Where a Standard Event is rented by a single customer for the whole slot, a Clinic Event has a capacity and fills up with a roster of participants until it is full.

That is the whole distinction: a cage rental is sold once, and a hitting clinic is sold twelve times against the same slot. The Clinic Event still occupies its Resources the same way, so a clinic on Court 1 blocks Court 1 for everyone else.

How do packs work?

A pack is a prepaid block of sessions. The customer buys a set number up front in a single transaction, and that balance sits on their account waiting to be spent on clinic bookings.

This is the model most facilities already run informally — "ten sessions for the price of eight" written on a whiteboard. A pack makes that balance something the system tracks instead of something your front desk remembers.

How sessions are drawn down

One session per booking. The sequence is:

A pack from purchase to empty
StepWhat happens to the balance
Customer buys a 10-session packBalance goes to 10
They book a clinic sessionBalance goes to 9
They book three more over the monthBalance goes to 6
Balance reaches 0The pack can no longer be used to book

Because the drawdown happens per booking, the pack balance is the number of clinic sessions the customer has left — not a dollar amount to spend.

Expiry and unused sessions

Each pack carries an expiry date. Once that date passes, remaining sessions stop being redeemable even if the customer never used them.

Set expiry to match your programs

An expiry shorter than the program it covers creates front-desk arguments. If you sell a pack for a ten-week winter clinic, the expiry needs to outlast those ten weeks — including the weeks the participant might miss.

Packs or membership credits?

Both are prepaid balances, so the useful question is what the customer is buying:

  • A pack — a one-time purchase of a set number of clinic sessions. Good for the parent who wants a block of sessions without a recurring commitment.
  • Membership credits — a balance granted as a benefit of a plan, refreshed on the plan's cycle. Good for the family that trains with you year-round.

Common questions

How do class packs work in Fieldspace?

A pack sells a number of sessions up front. The customer pays once, and each time they book a clinic session one session is drawn down from their balance. When the balance reaches zero, or the pack passes its expiry date, it can no longer be used to book.

What is the difference between a Clinic Event and a pack?

A Clinic Event is the thing on the schedule: a session with a capacity that fills up with a roster. A pack is how a customer pays for several of those sessions in advance. The Event controls who can fit; the pack controls how many sessions the customer has already bought.

What happens when a pack expires with sessions left?

Unused sessions stop being redeemable once the pack passes its expiry date. Set the expiry to match how you actually run your programs — a pack meant for an eight-week session should not expire in four.

How is a pack different from membership credits?

Both are prepaid balances, but a membership plan grants credits on a recurring cycle as a benefit of belonging, while a pack is a one-time purchase of a set number of sessions. Use a pack for a customer who wants a block of clinic sessions without joining as a member.
