Recurring Reservations

Set up weekly lessons, league games, and regular practice times that repeat automatically.

Overview

Recurring reservations are the time-saver you didn't know you needed. Instead of creating 16 separate bookings for a 16-week tennis lesson, you create one recurring booking and Fieldspace generates the rest.

Creating Recurring Bookings

Here's how it works:

  1. Start creating a booking like normal
  2. Toggle on "Recurring"
  3. Pick your pattern (weekly, bi-weekly, etc.)
  4. Set an end date or number of occurrences
  5. Review the dates Fieldspace generates
  6. Confirm and you're done

You'll see a preview of all the dates before you confirm. If something looks off—like it's hitting a holiday—you can adjust before creating.

Recurrence Patterns

Pick the pattern that matches how the booking actually repeats:

  • Daily — Every day, or every X days (rare, but we support it)
  • Weekly — Same day(s) every week. The most common pattern.
  • Bi-weekly — Every two weeks
  • Monthly — Same date each month, or "first Monday," that kind of thing
  • Custom — For weird schedules that don't fit the others

For weekly patterns, you can select multiple days. A tennis league that plays Tuesday and Thursday? One recurring booking covers both days.

Managing a Series

All the bookings from one recurring setup are linked as a "series." Click any booking and select "View Series" to see them all at once.

Editing a Single Occurrence

Sometimes you need to change just one week—maybe the lesson is at 3pm instead of 2pm because of a schedule conflict. Here's how:

  1. Click on that specific booking
  2. Select "Edit This Occurrence"
  3. Make your changes
  4. Save

The rest of the series stays the same. That one booking gets a little indicator showing it's different from the pattern.

Editing the Entire Series

Need to change the time for all future sessions? Maybe the student's schedule changed permanently:

  1. Click any booking in the series
  2. Select "Edit Series"
  3. Choose whether to update all occurrences or just future ones
  4. Make your changes
  5. Save

Past bookings are never affected—what's done is done. Changes only apply going forward.

Tip

Made an exception for one week and now want to undo it? Edit that single occurrence and it'll ask if you want to restore it to match the series pattern.


Handling Conflicts

When you create a recurring booking, Fieldspace checks all the dates for conflicts. If Court 1 is already booked on March 15th at your requested time, you'll know before you confirm.

Your options when conflicts pop up:

  • Skip the conflicting dates and book everything else
  • Use a different court for those specific dates
  • Cancel and sort things out manually

Tip for leagues and lessons: set up your recurring bookings as early as possible to lock in your preferred times before someone else does.

Billing for Recurring Bookings

You've got flexibility here—pick what works for your business:

  • Pay per booking — Charge for each session individually. Simple, but means more transactions.
  • Monthly invoice — Bill all sessions at the end of each month. Good for ongoing relationships.
  • Prepay the series — Collect payment for all sessions upfront. Best cash flow for you.
  • Include in membership — If it's covered by their membership, no separate charge needed.

You can set defaults for each booking type (lessons bill monthly, rentals pay per booking, etc.) or override it per customer as needed.
