Email Notifications

Automated emails that keep your customers in the loop—confirmations, reminders, changes, all handled for you.
Overview
Nobody likes being left in the dark. When a customer books a court, they want confirmation. When their booking is coming up, a reminder helps. When something changes, they need to know. Fieldspace sends all these emails automatically—you don't have to think about it.
Notification Types
Here's what Fieldspace sends on your behalf:
- Booking confirmation — "Your court is booked!" Sent the moment they complete a reservation.
- Booking reminder — "Don't forget, you're playing tomorrow at 6pm." Sent however far in advance you want.
- Booking changes — "Your booking has been moved to Court 3." Sent whenever something changes.
- Cancellation notice — "Your booking has been cancelled." Plus refund details if applicable.
- Payment receipt — A proper receipt for their records after they pay.
- Membership welcome — "Welcome to the club!" for new members with login details and getting-started info.
- Renewal reminders — "Your membership expires in 7 days." With a link to renew.
Configuration
Control what gets sent, when, and to whom in Settings → Notifications:
- Turn each notification type on or off
- Set reminder timing (24 hours before? 2 hours? Both?)
- Choose who gets the email—customer, staff, or both
- Set your "from" name and email address
Most facilities leave most notifications on. Your customers expect them. But if you want to turn something off (maybe you prefer calling to remind people instead), you can.
Email Customization
These emails come from "you"—they should look like it:
- Add your logo to the email header
- Write your own subject lines
- Edit the email body to match your voice
- Use merge tags (
{{customer.name}},{{booking.date}}, etc.) for personalization - Add custom footer content with your contact info or policies
You don't have to customize anything if you don't want to—the defaults are perfectly fine. But if you want emails to say "See you on the courts!" instead of "Your booking is confirmed," go for it.
Delivery & Tracking
Know what's going out and whether it's being received:
- Activity log — See every email that's been sent
- Delivery status — Track if it was delivered, opened, or if links were clicked
- Resend — Customer says they didn't get it? One click to resend.
- Bounce handling — If someone's email bounces, you'll know so you can get their correct address
If a customer ever says "I never got a confirmation," you can check the log and see exactly what happened. Makes troubleshooting a lot easier.
