Manage equipment, lighting, and other facility resources alongside your bookings.

Overview

Beyond courts and fields, your facility likely has additional resources that need to be managed—equipment, lighting systems, staff, and more. Fieldspace helps you track and coordinate these resources.

Equipment Tracking

Keep an inventory of your facility's equipment:

  • Add equipment items - Rackets, balls, nets, goals, etc.
  • Track quantity - Know how many of each item you have
  • Monitor condition - Note wear and schedule replacement
  • Location tracking - Know which facility has what equipment

Equipment can be linked to bookings or rented separately.

Equipment Rentals

Offer equipment rentals as part of the booking process:

  1. Add rentable items to your equipment inventory
  2. Set rental prices (per hour, per session, or flat fee)
  3. Enable "add-ons" during the booking flow
  4. Track which equipment is currently rented

Customers can add equipment to their booking, and the rental is automatically included in their invoice.

Lighting & Utilities

For outdoor facilities with lighting systems:

  • Track light availability by court/field
  • Charge additional fees for lighting
  • Automatically include lighting based on booking time
  • Set lighting availability windows (e.g., after 6 PM)

Similar tracking can be set up for other utilities like court heating or bubble systems.

Maintenance Scheduling

Schedule regular maintenance to keep facilities in top condition:

  • Recurring tasks - Daily cleaning, weekly deep clean, monthly inspections
  • Block time - Automatically block availability during maintenance
  • Task assignments - Assign maintenance tasks to staff
  • Completion tracking - Log when tasks are completed

Maintenance schedules integrate with your booking calendar to prevent conflicts.

Staff Assignment

Assign staff members to facilities, shifts, or specific bookings:

  • Facility managers - Staff responsible for specific locations
  • Shift schedules - Track who's working when
  • Booking assignments - Assign staff to lessons or supervised sessions
  • Availability - Staff can set their availability for bookings

Staff assignments show on the calendar and can trigger notifications.
