Manage equipment, lighting, and other facility resources alongside your bookings.
Overview
Courts and fields are just the start. Most facilities also manage equipment, lighting systems, staff schedules, and maintenance—often in separate spreadsheets or notebooks. Fieldspace brings all of that into one place, connected to your bookings.
Equipment Tracking
Before you can rent out equipment, you need to know what you have. The equipment inventory lets you:
- Catalog everything — Rackets, balls, nets, goals, ball machines, whatever you've got
- Track quantities — Know when you have 50 tennis balls vs. 12
- Note condition — Flag items that need replacement soon
- Track by location — Know which facility has the good equipment
The inventory updates automatically as equipment gets rented and returned.
Equipment Rentals
Here's where equipment becomes a revenue stream. You can offer rentals as add-ons during booking:
- Mark items in your inventory as "rentable"
- Set your rental price—per hour, per session, or flat rate
- Enable the item as an add-on in your booking flow
- Customers see it as an option when they book
The rental gets bundled into their invoice automatically. You'll see which equipment is currently checked out so you know what's available.
Lighting & Utilities
Outdoor courts with lights need special handling. Fieldspace can manage lighting as part of the booking:
- Track which courts have lights installed
- Add a lighting fee to evening bookings
- Auto-include lights when someone books after sunset
- Set availability windows (lights only available after 5pm, for example)
The same approach works for other utilities—court heating, bubble systems, climate control. If it costs you money to turn on, you can pass that cost through the booking.
Maintenance Scheduling
A well-maintained facility keeps customers coming back. Set up recurring maintenance tasks and they'll run on autopilot:
- Daily tasks — Court cleaning, equipment checks
- Weekly deep cleans — Block time for intensive work
- Monthly inspections — Net replacement, surface assessment
- Automatic blocking — Maintenance time removes availability from the booking calendar
You can assign tasks to specific staff and track when they're completed. No more wondering if the courts got swept.
Staff Assignment
For facilities that need to coordinate staff with bookings, Fieldspace handles the connection:
